Position Summary
Join UCLA Extension as an External Affairs Coordinator and play a key role in supporting fundraising, donor engagement, executive initiatives, and community partnerships. This dynamic position is ideal for a highly organized and relationship-focused professional who enjoys managing projects, coordinating events, supporting leadership, and contributing to mission-driven work that advances educational opportunities and community impact.

Primary Responsibilities
Under the general direction of the Assistant Dean of External Affairs, the External Affairs Coordinator serves as the operational hub for UCLA Extension's External Affairs department, providing comprehensive project management, development operations, executive support, stewardship coordination, and administrative leadership that advances the division's fundraising, institutional engagement and collaboration, and strategic priorities. Working collaboratively with campus external affairs staff, donors, volunteers, corporate partners, and community stakeholders, the External Affairs Coordinator builds the operational infrastructure necessary to support philanthropy, increase executive capacity, and advance UCLA Extension's mission and strategic goals.




Qualifications
1. 2+ years Progressively responsible experience in project coordination, administrative operations, fundraising support, higher education administration, nonprofit organizations, or external relations. 

2. 2 years experience in supporting executive leadership.

3. 3 years experience utilizing CRM databases or comparable information management solutions.

4. Demonstrated knowledge of fundraising, donor stewardship, and constituent engagement practices, including gift processing and development support activities.

5. Strong project management and organizational skills with the ability to coordinate multiple concurrent initiatives and ensure timely completion of deliverables.

6. Ability to independently prioritize and manage competing assignments, exercise initiative and sound judgment, adapt to changing priorities, and proactively resolve problems in a fast-paced environment.

7. Ability to research, gather, analyze, and synthesize information to prepare reports, dashboards, executive briefings, and recommendations.

8. Excellent written communication skills, including drafting, editing, proofreading, and preparing professional correspondence, reports, and presentations.

9. Strong verbal communication and interpersonal skills to effectively engage with donors, volunteers, faculty, administrators, corporate partners, and community stakeholders.

10. Demonstrated ability to build and maintain collaborative relationships while providing exceptional customer service to diverse constituents.

11. Experience utilizing Blackbaud CRM or similar database systems to maintain data integrity, track activities, and generate reports.

12. Ability to conduct prospect research and develop donor profiles, briefing materials, and background analyses using multiple information sources.

13. Knowledge of event planning and logistical coordination, including registrations, vendor management, communications, and post-event follow-up.

14. Ability to support budget administration, financial tracking, expense reconciliation, purchasing, and related reporting activities.

15. Proficiency with Microsoft Office Suite, Google Workspace, Excel, Adobe Acrobat, Zoom, and project management platforms, with the ability to maintain confidentiality and handle sensitive information with professionalism and discretion.

Bachelor's degree in Business Administration, Communications, Public Administration, Higher Education, Nonprofit Management, Marketing, or a related field; or an equivalent combination of education/training and professional experience.
