Position Summary

UCLA’s College Development team is seeking a Budget and Operations Coordinator that has a strong interest in developing their finance/budget skills, learning about business operations and serving as a strong staff resource. This entry-level position supports our fundraising teams and is a great opportunity to learn about these functions, expand on your undergraduate work/internship skills and develop your career goals through our training, mentoring, and professional development programs.  We are committed to providing excellent customer service in a supportive environment that creates positive relationships and experiences for our staff, faculty, alumni and donors. Your work will ensure our financial/budget and fundraising operations are well managed with a high degree of accuracy and efficiency. 



Primary Responsibilities
As our Budget and Operations Coordinator, you will manage purchasing, payment and reconciliation of goods and services and work with centralized service departments and outside vendors. You will help ensure department employees have appropriate workspaces, equipment, and resources to do their jobs effectively, with an emphasis on sustainable business practices. As you gain knowledge of College Development operations, you will serve as a highly regarded staff resource, and policy and procedure expert for travel, entertainment, and events. You will also be a strong liaison with other External Affairs offices and units and  will manage administrative duties of the Assistant Vice Chancellor as needed, such as scheduling and handling sensitive matters. Qualifications
1. Basic office experience/skills combined with an aptitude for and interest in finance/budget/operations such as reviewing and creating spreadsheets, sending professional emails, etc. is highly desirable and preferred.

2. Experience with Excel such as using pivot tables, developing formulas and strong ability to compile and report on data.

3. Detail- oriented with a keen eye for accuracy.

4. Ability to quickly learn and understand College Development finance/budget and operations policies, procedures and practical applications; an eagerness to help and provide departmental expertise to staff.

5. Ability to learn and deliver customer service skills such as interacting in a friendly, professional manner and responding quickly and appropriately to requests. 

6. Excellent verbal and written communication skills.

7. Ability to exercise independent judgment, take initiative, be accountable, resourceful and make decisions.  

8. Strong critical thinking and analytical skills.

9. Ability to research, gather, analyze, and synthesize information from sources such as online searches, databases and files; ability to define problems and suggest solutions.  

10. Excellent interpersonal skills to develop and maintain collaborative working relationships. 

11. Ability to work as part of a team, be organized and accountable, follow through on projects and manage shifting priorities to meet deadlines. 

12. Ability to maintain confidentiality and to use discretion.

13. Proficiency with business software and systems such as Google docs, Google forms, Word, and Outlook; ability and eagerness to learn new databases. 

14. Must be able maintain a reliable and predictable work schedule including ability to work occasional evenings and/or weekends as needed.

15. Bachelor’s degree in finance/accounting/business or related field is preferred.
