Primary Responsibilities

Reporting to the Senior Director, Hospital Initiatives and Boards, you will be responsible for duties that support hospital boards in a fast-paced office environment. As our Board Liaison, you will provide operational support for all hospital board projects and initiatives, including preparing briefings, reports, and meeting materials for board meetings and events. Meeting planning is a strong component of this role and you will be involved in the planning, preparation and day-of support of our Board and Committee meetings ensuring their smooth and successful execution. Using your strong orientation for details and keen sense of accuracy, you will manage a complex calendar of board and committee meetings and will interface with chief/senior executive level managers and team members to facilitate their engagement in board activities. As our Board Liaison, you will provide high-level administrative support, such as creating/analyzing queries and reports, preparing monthly financial statements and updating documents. You will interact with major donors, volunteer leaders, all levels of staff (including senior) and faculty, handling general board-related correspondence inquiries and requests. Qualifications

1.   Minimum of four years office/administrative experience in managing/coordinating the activities of a busy/productive team preferably in a large complex organization and/or higher education.   

2.   Prior experience with executive boards/supporting boards and/or committees is a plus and highly desirable.

3.   Prior experience working with and understanding CRM/CRM databases is preferred. 

4.   Results oriented with a strong customer service approach and ability to deliver a consistently high level of support and to respond quickly and appropriately to requests. 

5.    Well-developed interpersonal skills to build and sustain collaborative relationships with a wide variety of constituents; ability to work well as a team and interact effectively and diplomatically with others.

6.   Strong time management, planning and organizational skills; highly detail oriented with demonstrated ability to independently prioritize and work on multiple projects simultaneously, provide proficient follow up and make timely decisions to meet deadlines under minimal supervision.  

7.   Demonstrated high level of personal integrity, discretion and diplomacy; skilled in using judgment in situations requiring independent initiative and tact with ability to handle confidential matters and information.  

8.   Excellent verbal communication skills to convey information accurately and effectively to a wide variety and level of staff/constituents. 

9.   Strong written communication skills to prepare, proofread and edit a variety of correspondence and reports for correct grammar, punctuation, spelling and syntax with a keen eye for accuracy.  

10. Proficiency with business software such as Google docs, Google forms, Word, Excel, Outlook and databases; ability and eagerness to learn new software and systems.  

11.  Demonstrated skill in organizing and implementing complex activities involving on- and off-campus constituents; skill in organizing materials and people in a systematic way to optimize efficiency and minimize duplication of effort. 

12. Creative, proactive self-starter that can take initiative, maintain an upbeat, positive attitude, and work with speed and accuracy as part of a team in a complex fast-paced environment. 

13. Strong research skills; resourceful and analytical with ability to gather, analyze, evaluate and synthesize information or circumstances to define problems, suggest solutions and improve efficiency of workflow. 

14. Must be able to maintain a reliable and predictable work schedule including ability to work occasional evenings and/or weekends. 

15. Bachelor’s degree is preferred.
